If an existing publication record needs updating, you can let us know using the 'Suggest an update for this record' button which appears at the bottom of each publication's page in Romeo. This will then give you a form to complete so that you can tell us what information needs to be changed for that individual publication record.

If you wish to make changes to several/many of your publications in Romeo or review your entire inventory, then it is more efficient in terms of processing time (for you and for us) to submit just one initial request to Jisc's helpdesk. Please email us at help@jisc.ac.uk (mentioning Sherpa Romeo in the subject line of your email). In your email, let us know what you are trying to achieve - we can then let you know the best way to proceed. We may even provide a spreadsheet to help capture the information we require to manage your existing inventory.

Below, we provide examples of what you might wish to tell us about:

• List of publications to be removed from your inventory - if publications have ceased or have been transferred to another publisher.
• List of publications where URLs/ISSNs have changed.
• Changes to your open access policy - if you wish to tell us what has changed in your policy and the publications to which the changes apply.

If you have several new publications to add to your inventory, then please complete the New record form. This will ask for your publisher details - and then provide you with either the fields to list a single publication or a spreadsheet to list multiple publications.

This section applies if you are a publisher that does not currently list its publications in Romeo, but would like to understand how to move forward with a listing request.

To be listed in Romeo, we have created a set of inclusion criteria for both the publisher and the publication. Please check these criteria first before you do anything – you can find these listed on our About page. If you do not meet the criteria, we cannot add your details to Romeo, and your application will be rejected.

Please note that Romeo is a resource which presents publisher/publication open access (OA) policies from around the world. Therefore, we need to know about your OA policies and the publications to which they apply. You must be able to express these OA policies clearly before applying for listing in Romeo. Please look at some examples of OA policies in our database so that you are prepared for the questions that we will ask as part of the process of listing a new publisher. We need to maintain the accuracy of our database for our users, so we need to obtain quality information from you about your OA policies.

If you feel that all the inclusion criteria are met and your OA policies are clear, we ask you to complete our New record form. This form is designed to capture the information we need to enable us to list publishers and publications in Romeo quickly and accurately. So, you should be aware that the form will take a while to complete and asks for quite detailed information about your OA policy.

For reasons of publisher policy transparency, your completed form details should match the OA policy that you have stated on your website, and we will check the information is correct before carrying out the listing. We will contact you if we see a discrepancy.

We also appreciate that you may be a publisher that operates more than one OA policy. So you would need to fill out separate 'New record forms' for the following examples:

• if you operate some publications as open access and some as hybrid/subscription
• if some of your publications are published on behalf of societies and they have their own policy

Regarding the details of the publications that are linked to these policies:

• If you have just one publication to list in Romeo, then the details for this can be entered in the fields within the New record form itself.
• If you have several publications to include for a given OA policy, then these are best listed in a spreadsheet. The form contains a spreadsheet for the publication details, which can be uploaded at the end of the form process.

Please refer carefully to the information above while completing the New record form.

We receive a very large number of requests for publishers and publications to be listed in Romeo. This means that it can take quite a while before individual requests can be processed by our editorial team. We apologise in advance for the length of time this process may take – and request you to take note of the following:

• Please do not submit requests for status updates if the publisher form you submitted is under 4 months old. If we have looked at your request, we will contact you. This also means that if we have not contacted you, we have not had chance to look at your request yet.
• Also, please do not submit another 'New record form' with the same information. If you received an auto-response email, then your request is already logged on our Helpdesk software and we do not need further details.

Duplicated forms and repeated requests for status updates take time to investigate and prevent the editorial team from working on the actual publisher forms that have been received.

We will carry out some checks on the information that you supply. As part of this, we may ask you for more information, for example about the details of your policy. Please can you reply as soon as possible - otherwise we cannot begin to action your request. We will also not be able to remind you to reply to these questions. If our questions are not answered within a couple of months – then your request will be closed unactioned.

It is possible that you may find that you have been rejected for listing in Sherpa Romeo. Potential reasons for this include:

• The inclusion criteria are not met in full
• Your open access policy is unclear – and you do not respond to requests asking for further explanation so that we can present it correctly in Romeo
• Your application form has not been completed properly or in full - and you do not respond to requests for the relevant details to help us with the listing

• If the publisher is already in Romeo, please email us at help@jisc.ac.uk (mentioning Sherpa Romeo in the subject line of your email) giving the details of the publication, including Title, URL, ISSNs and the publisher name.
• We are not currently accepting requests for new publishers via customer suggestions – our preferred route is for the publisher to request a listing in Romeo using the process explained in the Publishers section above (for publishers not currently listed in Romeo). We encourage you to ask the publisher to complete a form to request a listing.
